Setting up and maintaining a system for storing commercial vehicle contact information

The NFZ (National Health Fund in Poland) is the institution responsible for public medical services in Poland and for the management of public funds for the healthcare system.

Project


Since there is already a central unit of the NFZ, steps should have been taken to centralise the system for managing the contact information of stakeholders from all over Poland. This system will process and store huge amounts of data from all NFZ stakeholders across Poland. The NFZ will manage all data from one central location.
The system will be used by branch offices, consultants and the NFZ telephone line. It enables the creation, editing, improvement and deletion of unit data. In addition, the system enables the import and export of data with other databases through integration via incremental daily files.

The challenge here is to design, build and implement the system while managing a data volume of 28 GB and synchronised daily import of incremental data files. In addition, the project included the preparation of training courses for more than 300 system users from various units across the country, including training for system administrators at the National Health Fund who support the maintenance of the system with the contractor.

Solution


From the design and development of the system architecture to commissioning, we were involved in all phases. From processing the first data in production to loading daily incremental data from various sources. User administration is carried out according to a defined authorisation matrix for more than 1,000 users, and an important aspect was meeting the legal requirements for data protection and the security of data processing and storage.

Process


The project was carried out according to the Scrum methodology, which consisted of 7 sprints with a deadline of 2 weeks. At the beginning, with the introduction of the team and the sprints, an additional sprint 0 was carried out.

Project success


  • System: Central contact information database (BTA) - The system was implemented in accordance with the objectives, schedule and budget set. It fulfils all security, privacy and accessibility requirements in accordance with WCAG 2.1 standards.
  • Documentation: The documentation created was submitted and received in the form of project products in accordance with the requirements of the contract and adapted to WCAG 2.1 standards.
  • Workshops: As part of the work, SOFTIQ employees involved in the production and testing of the system created training materials and conducted tests for NFZ employees. The result of the training evaluation was rated at the highest level.
  • Maintenance: From the moment the system was introduced in the production environment, we introduced maintenance mechanisms such as automatic monitoring of network and server performance with Zabbix. We also developed procedures for deploying update packages and performing application upgrades.
